Building Inventory Form Status Lifecycle

Building Inventory form statuses indicate the level of completion for an individual inventory form. Statuses include:

Incomplete: This is a status set by the consultant that indicates that additional work is still needed on this form. This is the recommended status to be set when initially capturing an inventory form in Survey123. An inventory form cannot be submitted to SHPO while at Incomplete status. Forms with this status WILL appear in the Inbox of the Survey123 app for subsequent editing.

Complete: This is a status set by the consultant that indicates that the form is believed to be complete and ready to be submitted to SHPO (pending final QA/QC). Forms with Complete status are NOT visible from the Inbox of Survey123 and cannot be edited in the field.

Submitted: The inventory form has been submitted to SHPO for review. Note: The form cannot be edited while in Submitted status, however there is an unsubmit button that will revert the status back to Complete in the event that a form is inadvertently submitted to SHPO.

Needs Editing: This is a status that can only be set by SHPO indicating that SHPO has reviewed the inventory form and is requesting additional changes before the data can be loaded into the CRIS system.

Loaded: Indicates that SHPO has approved the information presented in the inventory form, and the data is now available to the public from the CRIS database

Ignored: For one reason or another, SHPO has determined that the inventory form data submitted cannot be integrated into the CRIS database. Forms at ignored status will remain in Manager for the consultant’s records, and can still be exported or used to generate a report, but the data will not be editable by the consultant and will not be brought into CRIS
